Refund & cancellation policy
This policy describes how refunds and cancellations work for OrbiMax’s scope-based services and digital deliverables. It is written to be clear and practical.
1) Overview
OrbiMax offers scope-based services such as comparison sheets, checklists, and structured summaries. Because work is delivered digitally and often starts quickly after scope confirmation, refunds are handled according to the stage of work and what has already been delivered.
2) Definitions
- “Scope”: the agreed set of deliverables and effort described before work begins.
- “Digital deliverable”: any file, template, summary, checklist, or content sent electronically.
- “Start of work”: the time OrbiMax begins reviewing materials or drafting deliverables after confirmation.
3) Timelines
If a refund is approved, processing time depends on payment method and operational constraints. As a general guideline:
- Refund decisions are typically communicated within a reasonable time after we receive required details.
- Payment providers may take additional time to reflect the refund.
4) Cancellations
You may request cancellation before work begins. If you cancel:
- Before start of work: a full refund may be available, unless costs were already incurred for special preparations you requested.
- After start of work: refunds may be partial, depending on progress and delivered materials.
If you are unsure whether work has started, contact us and we will explain the current stage.
5) Refund eligibility
Refund eligibility depends on what has been delivered and whether the work can be returned or “undone.”
- Full refund: generally possible when no work has started and no deliverables have been sent.
- Partial refund: may apply when work has begun or partial deliverables were sent (e.g., a draft comparison sheet).
- No refund: may apply when the agreed deliverables were completed and delivered, or when the value is primarily in a digital deliverable already provided.
Any mandatory consumer rights under applicable law remain unaffected.
6) Digital services and downloadable deliverables
Some deliverables are digital in nature. Once delivered, they may not be “returned.” In such cases:
- If a deliverable was sent and meets the described scope, refunds may be limited.
- If a deliverable materially differs from the agreed scope, we may offer a correction, partial refund, or another reasonable remedy.
7) Exceptions
Refunds may be limited or not available in cases such as:
- misuse of the service (e.g., abusive or unlawful messages)
- requests outside the agreed scope after work is completed
- failure to provide required information after repeated attempts to obtain it
8) How to request a refund
To request a refund or cancellation, email us with:
- your name and the email address used
- the scope or deliverable name (if known)
- the reason for the request
- any relevant timeline (when you confirmed scope, when deliverables were received)

9) Disputes
If you disagree with a decision, contact us with additional details so we can review. Where required by law, disputes may be brought in a court of competent jurisdiction.
